Terms and Conditions for the catering for meetings, exhibitions, conferences, banquets and all other events held at One Bishops Square.

All agreements with clients for catering with Allen & Overy LLP (referred to hereafter as Allen & Overy or A&O), One Bishops Square, London. E1 6AD for meetings, exhibitions, conferences, banquets and other events (Events) and their nominated caterer, Searcy Limited, are subject to the following conditions:

1. Catering Arrangements
Agreements for catering in the auditorium or other spaces may only be made after written confirmation of hiring of these areas has been received from the client. Clients are responsible for the invoiced amount and for the performance of all conditions, and may not assign their rights and obligations hereunder.

2. Numbers attending
a) At the time of contact the client shall give an estimate of the number of persons attending the Event. Allen & Overy reserves the right to re-quote if the number of guests fluctuates from the original quote.
b) Clients shall confirm in writing the final number attending not less than four working days before the

event. Charges for food and beverages will be based on that number or the number attending, if greater.

3. Equipment
At the time of booking clients shall:
a) Advise of any equipment or facilities they require for the event which will be charged at the standard rate.
b) Advise if they wish to bring in and use any equipment other than Allen & Overy's equipment. Clients shall be responsible for the security and insurance of such equipment, for the obtaining of all consents and licences necessary therefore and for its prompt removal at the end of the event.

4. Charges and Deposits
a) All charges are based on Allen & Overy’s tariff at the date of the event.
b) Allen & Overy reserves the right to require payment of the following deposit:
Up to 100% of the estimated cost of the event payable in full 15 days prior to the event taking place. Allen & Overy reserves the right to waive or reduce this amount on a discretionary basis.
c) Allen & Overy reserves the right to make additional charges for functions commencing and finishing beyond the normal operating hours of 7.00am to 11.30pm (Mon-Fri).
